Transforming Spaces: A Heartwarming Holiday Makeover at Children’s Hospital of Richmond at VCU
We are thrilled to announce the successful completion of one of our most meaningful seasonal projects to date: the complete transformation of a family waiting room at the Children’s Hospital of Richmond at VCU. This endeavor went beyond mere decoration; it was about infusing a clinical environment with warmth, comfort, and a touch of home, especially crucial during the holiday season. It truly stands out as one of our favorite seasonal projects ever!
A Call for Comfort: The Project’s Genesis
Our journey began with a special invitation from the Children’s Hospital of Richmond at VCU. They reached out with a heartfelt request: to volunteer our time and expertise to revitalize a family waiting room. Their vision was clear – to create a space that felt genuinely cozy and welcoming year-round, while also adding festive elements to brighten the spirits of families spending the holidays within the hospital walls. From the moment we heard the proposal, we were captivated. The project wasn’t just an exciting design challenge; it carried a profound purpose, promising to make a tangible difference in the lives of vulnerable children and their families. We couldn’t wait to begin this unique hospital waiting room makeover.
Before the Magic: The Waiting Room’s Original State
Stepping into the room for the first time, we encountered a typical hospital waiting area – functional, clean, but inherently sterile. It lacked the personal touch, the soft edges, and the comforting ambiance that families so desperately need during challenging times. Our goal was to reimagine this space entirely, turning it into a sanctuary.

Crafting a Sanctuary: Our Vision for a Home Away From Home
Our primary objective was to imbue the waiting room with a comforting, living-room-like atmosphere. We envisioned a space where children, parents, and dedicated staff could find a moment of respite, particularly those facing the daunting prospect of spending the holidays in a hospital. A significant initial change involved introducing a new paint color. Inspired by staff requests for something deeply enveloping and cozy – a stark contrast to the often bright and clinical tones found elsewhere in the facility – we selected ‘Gargoyle.’ While it might appear gray in photographs, in person, it reveals a rich, inviting mocha, brown, and taupe blend, offering an immediate sense of warmth and security. This foundational change set the stage for all subsequent additions. We layered in elements like a plush, inviting armchair positioned beside a cheerfully bright Christmas tree, soft and elegant window treatments, and an array of thoughtfully chosen holiday decorations, including a delightful parade of wooden trees adorning one side of the room. Each detail was carefully considered to cultivate that essential ‘homey’ vibe, transforming a sterile environment into a nurturing haven and creating truly cozy hospital spaces.

Future Enhancements for Lasting Comfort
While our immediate focus was on creating a festive atmosphere for the current season, the room’s transformation is ongoing. In the coming months, it is slated to receive beautiful new hardwood floors, a fresh white door to replace the existing blonde wood, and updated furnishings that will further enhance its year-round appeal. However, the hospital recognized the pressing need to create a festive and comforting environment without delay, especially for families enduring the holidays within their walls. We were immensely grateful for the opportunity to jump right in and bring immediate cheer to this deserving space at the VCU Children’s Hospital.
The Heart of the Project: Making Families Feel Cared For
The true essence of this project is beautifully articulated by Heather, the Senior Child Life Specialist at the hospital, in the heartwarming recap video the hospital produced. She emphasizes the profound desire for families to “feel cared about” from the moment they step into the room. Decorating for the holidays is a cherished tradition for many, but for parents grappling with a child’s illness, it’s often the furthest thing from their minds. This understanding fueled our design philosophy: to move away from a corporate or cold aesthetic and towards a space brimming with handmade touches and genuine warmth, mirroring the comfort of home. The hospital’s video eloquently captures the spirit of this transformation, and while it thankfully omits our misty-eyed moments, it perfectly conveys the project’s impact.
Bringing the Spirit to Life: Key Decorative Elements and DIY Inspiration
Having previously shared insights into projects like the faux fireplace and the charming paper garland – which, we hear, has only grown lovelier thanks to the artistic contributions of young patients – we’re excited to delve deeper into the specific elements that brought this hospital waiting room to life. Each piece was chosen or crafted with intention, aiming to create a soothing yet celebratory atmosphere, embodying thoughtful holiday decor for hospitals.
A Beacon of Hope: The Shimmering White Christmas Tree
Central to our holiday theme was a magnificent white Christmas tree. We consciously chose white not only for its striking contrast against the freshly painted, warm mocha walls but also because traditional green trees were already abundant throughout the hospital building. This choice allowed our tree to stand out as a unique focal point, radiating a serene and hopeful glow. Our pre-lit tree was sourced from Garden Ridge, while the majority of its beautiful gold and silver ornaments came from accessible retailers like Target and JoAnn Fabrics, proving that stunning decor can be achieved without excessive expense. The tree became more than just a decoration; it symbolized purity, peace, and the bright promise of the season for families in the Children’s Hospital.

Whimsical Welcome: Bucky the Reindeer and Friends
Presiding gracefully over the white Christmas tree was “Bucky,” a charming, large cardboard reindeer, generously sent to us by Cardboard Safari. As a local business based in Charlottesville, VA, they were enthusiastic partners in our mission to bring holiday cheer to the hospital. We were delighted to hear that Bucky quickly became a beloved figure, earning admirers as soon as he was hung, undoubtedly making many new friends among the children. Cardboard Safari also thoughtfully donated several of their intricate snowflake trees, which we strategically placed on tabletops, adding another layer of festive detail. It became clear that ‘trees’ were a recurring and unifying theme throughout the room’s design, symbolizing growth, nature, and enduring strength, contributing to the overall DIY hospital decor.

A Glistening Forest: The Metallic Tree Wall Display
One of the most captivating and creatively fulfilling elements was our “metallic tree forest,” which elegantly adorned two walls of the room. The initial idea was to line the wall panels with something visually impactful yet practical – thin and lightweight. The concept of a stylized forest quickly emerged, but the challenge lay in its execution. How could we create such a display effectively to enhance the children’s hospital decoration?

The solution came from remembering a remarkable local shop, Big Secret, renowned for their expertise in laser cutting and engraving. Their team enthusiastically joined our cause, generously donating their time and materials to precisely cut a variety of wooden trees in diverse sizes. We provided them with simple, free clip art templates found online, making the design process seamless. Once the raw wooden cutouts were ready, we meticulously coated them in a selection of metallic spray paints – shades of bronze, gold, and silver – to ensure they would shimmer and truly “pop” against the warm, painted walls. For installation, we utilized 3M removable velcro strips, a crucial choice that allows the trees to be easily removed after the holidays without causing any damage to the wall surface, ensuring the design’s flexibility and longevity. This metallic tree wall art became a prominent feature.

Comfort and Charm: Custom Window Treatments and an Inviting Armchair
Another local gem, U-Fab, played a pivotal role in enhancing the room’s comfort and aesthetic. They masterfully crafted two custom valances for the large windows, selecting a pattern that felt distinctly festive and seasonal while retaining a versatility that allows it to seamlessly integrate with the room’s decor year-round. These window treatments softened the light and added an essential layer of texture and warmth. In addition, recognizing the time constraints for custom upholstery, U-Fab graciously donated a cozy armchair from their showroom floor. This chair immediately became a favorite, a testament to its comfort. We heard countless stories of people reluctant to leave its embrace once settled, and it even had the honor of hosting Santa Claus during his visit to the children. There’s ongoing discussion with U-Fab about potentially re-covering the chair in a durable, wipeable vinyl in the future, ensuring its longevity in a high-traffic environment. For now, however, it provides a much-needed cozy spot by the Christmas tree, cherished by staff and children alike, contributing to the overall therapeutic design.

Interactive Art: The DIY Chalkboard Canvas
Between the two windows, you might have noticed a large, distinctive chalkboard. This was a custom DIY project, constructed from a piece of plywood and leftover chalkboard paint. To elevate it beyond a standard black square, we introduced a unique twist: white chalkboard paint. This was easily created by mixing a couple of teaspoons of light-colored, non-sanded grout into white paint. With this special blend, we painted a charming house on a hill along the bottom of the board. Our hope was that this scenic base would inspire creativity, encouraging visitors to draw a wreath on the house, a child sledding down the hill, or any festive scene they imagined, making it an interactive and evolving art piece for the waiting room and a unique example of handmade holiday touches.

Once hung, Sherry enhanced its initial appearance, giving it a ‘wintered’ look by gently dragging white chalk across its side, allowing the natural wood grain to subtly show through. This technique created an almost snowy, textured backdrop, a beautiful starting point before any doodles began. We’re thrilled to hear that the board has already been filled with an abundance of cute drawings and heartwarming holiday wishes from the hospital’s visitors, truly fulfilling its purpose as a communal canvas of cheer.

A Tapestry of Love: The Community Corkboards
Without a doubt, one of the most profoundly touching details in the room, and one that truly exemplifies community spirit, is the pair of cork boards. These weren’t just any cork boards; they were canvases for the overwhelming outpouring of cards, letters, and crafts mailed to our PO Box by our incredible community, brimming with warm holiday wishes for these deserving families. We were genuinely moved by the sheer volume of care and love that arrived. Families are now finding immense joy in sifting through the stacks of items, many of which couldn’t even fit onto the boards. To ensure every heartfelt message is appreciated, we’ve placed a basket nearby, filled with additional sketches, cards, and snowflakes, which can be rotated onto the boards or simply enjoyed from the basket itself. It’s a living, breathing testament to the power of collective kindness and community involvement.

Initially, we planned to use pushpins for these displays. However, we quickly learned that pushpins are a strict “no-no” in a hospital environment. Additionally, we realized the wall could benefit from some white to visually balance the Christmas tree in the opposite corner. Our solution? We painted the cork boards white. While the hospital staff often uses staples in lieu of pins for hanging items, we opted for cheerful, patterned washi tape to secure the initial display. This method allows for easy rotation of the items, ensuring all contributions are seen and enjoyed, and providing flexibility for future displays. This transformation of the community corkboards was both practical and aesthetic.

The sheer geographical spread of these contributions was astounding. We received thoughtful messages from all corners of the country – Hawaii to Alaska – and from across the globe, including Canada, the UK, New Zealand, Australia, and Switzerland! Even a couple of notes from Google employees found their way to us. To every single person who took a moment to brighten these families’ days, we extend our deepest gratitude. Witnessing firsthand the families soaking up this outpouring of love was, without exaggeration, the most rewarding aspect of this entire experience. It underscored the universal desire for connection and comfort during difficult times.

Handcrafted Charm: Sherry’s Wood Plaque Art
Nestled between the two message boards are delightful little art pieces crafted by Sherry. Using simple wood plaques purchased from JoAnn Fabrics, she embarked on a charming artistic endeavor. First, she primed a neatly defined oval on each plaque to prevent any wood ‘bleed’ and then painted these ovals a crisp white. Her next step involved using fine-tipped paint pens to sketch delicate, leafy vines along the top and bottom borders of each oval, creating an elegant frame for her central designs.

On each white oval, Sherry then drew a small, holiday-themed item or object. While I admired her cozy mittens and quaint little house, my absolute favorite was the whimsical stick-figure reindeer – a design so endearing, I’d love to see it on a t-shirt! For those who might feel inspired, Sherry even documented the step-by-step process with photos, making it possible for others to replicate these charming creations at home. Despite not being shaped like trees, these plaques perfectly complemented our cozy, lodge-like aesthetic, and it was truly heartwarming to hear families discuss which ones they liked best, fostering moments of lighthearted conversation. These handmade holiday touches added a unique character.

Subtle Touches of Cheer: Extending the Warmth to the Kitchenette
Adjacent to the main waiting room, a compact kitchenette serves as a practical space for families and staff. While this area is inherently busy and features limited wall space alongside heavily used counters, we still wanted to infuse it with a touch of holiday cheer. Our solution was both simple and strategic: we hung elegant gold glitter wreaths, sourced from Target, on the upper cabinet doors. These cabinets are typically locked, meaning they are rarely opened, making them an ideal spot for decoration that wouldn’t interfere with daily operations. The hospital staff specifically recommended this approach, knowing that any decor on the counters would quickly become an impediment in such a frequently used area. This thoughtful placement ensures that even in this functional space, a glimmer of festive spirit is present.

Adding another layer of global kindness, an incredibly sweet reader from Australia named Belinda sent us a beautiful canvas print from her shop, Poppy Love to Groove. This print features a beloved Peter Pan quote, “Think of the happiest things,” a message of hope and resilience. The hospital staff cherished this sentiment and wished for it to be visible year-round. What better place, then, than directly above the caffeine station – a spot where many find a moment of quiet reflection and a much-needed boost, demonstrating how transforming sterile hospital environments can be achieved with thoughtful details?

The True Reward: Witnessing Joy and Connection
While we are incredibly pleased with the aesthetic outcome of the waiting room, the most profound and gratifying aspect of this entire project has been witnessing the genuine reactions it has elicited. Over the weeks we spent working on-site, we had the immense privilege of meeting numerous patients, their parents, dedicated nurses, and hospital administrators. Their sincere appreciation was not just heartwarming; it was deeply moving. To hear them echo words like “warm,” “cozy,” and “soothing” – adjectives that served as our guiding principles throughout this transformative project – was incredibly rewarding. It affirmed that our efforts truly resonated with those who needed it most, solidifying the idea of transforming sterile hospital environments into comforting havens.
Ultimately, we believe that we are the ones who are most profoundly thankful for this experience. It was an assignment filled with creative joy and an interesting design challenge. More importantly, it offered a powerful perspective, allowing us to step away from the sometimes-consuming focus on our own home decor and holiday preparations. In comparison, our personal stresses felt wonderfully insignificant. And, of course, there are the children. They truly are the heart and soul of the hospital, embodying resilience and unadulterated joy. For a delightful dose of proof, we dare you to watch this fun holiday video they created – it’s impossible not to break into a wide smile!
